Guide: Reply in public or by private message
This page: https://commentwatchdog.com/help/inbox/reply-in-public-or-by-private-message
Topic: Inbox and comments
Time: about 4 minutes
Who can do it: Anyone on your team
Author: https://anantgupta.xyz (Anant Gupta, founder of CommentWatchDog)
Start in the app: https://app.commentwatchdog.com/en/inbox
Result when done: Your answer goes out the right way: under the post for everyone, or straight to the person.
Context: The composer gives you both ways to answer one comment. A public reply appears under the post. A private message goes to the person, and Meta allows exactly one per comment, inside a window that starts when they comment.

Before you start:
1. A private reply may be sent within 7 days of the comment, once per comment. After the person answers, you can keep talking for 24 hours from their message.
2. A private reply lands in Messages, not under the post, and the comment is marked Replied with a private note.
3. Facebook refuses public replies on some comments; when it does, your words are kept as a draft or offered as a private message instead.

Steps:
Step 1 of 4: Open the composer.
Where: The reply icon under the comment, or Reply in the phone sheet. It opens under the row with the comment above it, so you answer with the words in front of you.

You should see: A box, the send button, and the controls for saved replies, translation and an AI draft.

Step 2 of 4: Send a public reply.
Where: Type and send. The reply appears under the post on Facebook or Instagram as your page, and the row is marked Replied. Reply and archive sends and clears the row from the Inbox in one move.

You should see: Your reply is on the post, and the row shows Replied with your name against it.

Step 3 of 4: Send it privately instead.
Where: Send as private message, in the composer. Use it for anything with an order number, an address or a complaint you would rather not have under the post. The conversation continues in Messages.

You should see: The row is marked Replied with a private note, and the conversation is waiting in Messages.

Step 4 of 4: Handle a refused reply.
Where: If Facebook will not take a public reply on that comment, the composer says so before you send and offers to send it privately instead, or saves your words as a draft so nothing is lost.
You should see: Your words stay in the row as a draft, and the Draft chip appears until you send or clear them.

If something is off:
Problem: Send as private message is not offered
Fix: The 7 day window has passed, a private reply was already sent for that comment, or the comment is on a surface Meta does not allow private replies from.
Problem: The reply is not under the post
Fix: It was sent privately. The tooltip on the Replied chip says so, and the conversation is in Messages.
Problem: Facebook refused my reply
Fix: This happens on comments under ads that have stopped running and on comments the author removed. Your words are kept as a draft.
Problem: My reply appeared twice
Fix: The first send was queued because Meta was limiting actions, and it completed later. Delete one from the row.

Common questions:
Question: How long do I have to reply to a comment by private message?
Answer: Within 7 days of the comment, and Meta allows exactly one private reply per comment. Once the person answers, you can keep talking for 24 hours from their message, in Messages.
Question: Does a public reply appear under my name or my page's name?
Answer: As your page. The reply appears under the post on Facebook or Instagram as your page, while inside CommentWatchDog the row shows Replied with your name against it, so your team knows who answered.
Question: What does Reply and archive do?
Answer: It sends your reply and clears the comment from the Inbox in one move. The comment goes to the Archive with your reply attached; nothing changes on Facebook or Instagram when a comment is archived.
Question: Where does a private reply land for someone who commented on Instagram?
Answer: In their Instagram inbox if they follow your account, otherwise in Requests, with a link to the post they commented on. On your side the conversation is in Messages, and the comment is marked Replied with a private note.
